Role overview | Context
In this role, you will play a key part in delivering, optimising, and continuously evolving the London office experience across our UK operations.
You will own critical operational areas, driving performance through data and ensuring the workplace operates with precision, accountability, and consistency. Acting as a link between strategy and execution, you will translate workplace priorities into scalable processes, measurable outcomes, and high quality day to day experiences.
You will take ownership across workplace operations, vendor management, reporting, and governance, with the autonomy to make decisions and lead on key initiatives.
This is a high impact role suited to someone who thrives in fast paced environments, brings a strong analytical mindset, and is motivated by raising the bar for workplace experience and operational excellence.
You will take a customer first approach to every interaction, proactively understanding employee and visitor needs, resolving issues through to completion, and using insight and data to continuously improve the workplace experience.
Role overview | Remit and Responsibilities
Amongst other duties, this role will be primarily responsible for the below.
Operational Leadership & Delivery
- Own day to day workplace operations, ensuring the office runs smoothly, safely, and consistently while delivering a seamless employee and visitor experience.
- Act as a visible and trusted on site point of contact, ensuring workplace spaces, services, and touchpoints are well maintained, well stocked, and delivered to a high standard.
- Conduct regular workplace walkthroughs to identify, resolve, and escalate issues before they affect employees or visitors, maintaining consistently high standards across presentation, safety, functionality, and hospitality.
- Drive operational excellence through strong execution, accountability, and continuous improvement across all Workplace activities.
- Lead and support workplace initiatives, aligning delivery with Workplace strategy, business needs, and opportunities to enhance the day to day employee experience and operational efficiency.
Financial Management
- Own the UK Workplace budget end to end, including tracking, forecasting, variance analysis, and cost optimisation
- Lead procurement, PO management, and invoicing processes with accuracy and efficiency
- Partner with Finance and Accounts Payable to resolve issues and improve processes
- Manage vendor commercials, including pricing negotiations and contract renewals
Vendor & Contract Management
- Build and maintain strong working relationships with key vendors and site partners, including building management, cleaning and maintenance providers, acting as the primary point of contact for day-to-day operational matters.
- Proactively manage supplier communication, ensuring expectations are clear, issues are resolved promptly, and services are delivered consistently to agreed standards.
- Drive day to day vendor performance by monitoring service levels, holding suppliers accountable, providing regular feedback, and escalating risks or recurring issues where appropriate.
- Support contract management by maintaining accurate supplier records, tracking key dates and renewals, and coordinating contract administration.
- Identify opportunities to improve supplier performance, service delivery, and operational efficiency through regular reviews, performance reporting, and ongoing collaboration.
Data, Reporting & Performance
- Own Workplace reporting frameworks, dashboards, and KPI tracking
- Deliver monthly and quarterly reporting across budget, operations, and workplace experience metrics
- Combine operational data, service usage, employee feedback, and qualitative insight to identify trends, prioritise improvements, and measure the impact of changes on the employee experience.
- Track service performance measures including employee satisfaction, response and resolution times, service usage, recurring issues, and supplier performance; communicate outcomes and actions clearly to stakeholders.
- Ensure team accountability to reporting standards and performance metrics
Stakeholder & Site Operations
- Supporting engagement with building management (e.g. CBRE), ensuring issue tracking, resolution, and accountability
- Build strong cross-functional relationships across People, Finance, and wider business teams including senior leadership
Compliance & Sustainability
- Own Workplace compliance and reporting obligations (e.g. SECR, ESOS, energy reporting)
- Ensure alignment with regulatory, environmental, and company standards
- Drive improvements in sustainability performance
Workplace Experience & Projects
- Oversee experience led services (e.g. Food & Beverage), ensuring quality, consistency, and cost control
- Partner with Workplace Coordinator(s) to deliver an exceptional day to day employee experience
- Lead Workplace projects end to end and implement scalable process improvements
- Proactively identify opportunities to enhance workplace experience and operational efficiency
- Build a sense of community through thoughtful workplace activations, local events, welcome moments, and connection opportunities that respond to employee needs and reinforce Checkout’s culture.
- Gather employee feedback through regular informal engagement, surveys, and service touchpoints, ensuring concerns are acknowledged, resolved, and closed out with clear communication.
Requirements:
- Experience in a workplace, operations, or culture experience role, ideally within a fast paced environment
- A customer first, hospitality minded approach, with the ability to build trusted relationships and create positive, personalised employee and visitor experiences.
- Proven ability to own and manage operational functions, not just support them
- Strong financial acumen, with experience in budget management, forecasting, and cost control
- Confidence coordinating suppliers across hard and soft facilities management, responding to building issues, and escalating technical or compliance matters appropriately.
- Experience managing vendors and contracts, with a strong understanding of SLAs and performance management
- Highly data driven mindset, with the ability to translate insights into action
- Exceptional organisation and attention to detail, with the ability to manage multiple priorities
- Strong stakeholder management and influencing skills, confident working across all levels
- Ability to operate autonomously, take ownership, and make decisions with confidence
- A proactive, solutions focused approach with a drive for continuous improvement
- Strong communication skills, both written and verbal
- Highly self-sufficient and proactive, with sound judgement, a strong sense of ownership, and the ability to identify priorities and deliver solutions with minimal direction.
