Operations Officer

Salary: up to £32,000 per annum
We are seeking a professional and organised Operations Officer to manage the front-of-house operations and support the smooth running of our business school. The role requires excellent interpersonal skills, attention to detail, and the ability to multitask in a fast-paced academic environment.
This is an ideal role for someone who is hands-on and organised. The Operations Officer will work with the Student Experience and Estates teams to implement that fundamental operational processes needed to enable industry and engagement, student experience and timetabled academic events to run effectively and that the school meets all health and safety requirements and always ensure excellent building and classroom standards.
The postholder will report to the Director of Student Experience and Operations. The postholder will work in matrix structure and need to build strong working relationships within the Student Experience Team, central Study Group teams and the university partner to ensure the smooth running of the Centre.
About The Role
- Serve as the first point of contact for students, staff, visitors, and external stakeholders, providing a welcoming and professional experience.
- Liaise with building management to arrange opening hours, visits, security passes and operations of key events including inductions and arrivals periods and daily building opening set up and close downs.
- Maintain accurate records of visitors, deliveries, and facility usage.
- Manage detailed building checks daily, weekly, and monthly to identify and resolve maintenance, cleaning, and health and safety issues.
- Support health, safety, and security protocols, including staff/student access cards and emergency evacuation procedures.
- Coordinate directly with Building Management and Health and Safety and Estates teams to enable reporting, repairs,
- Support the daily operation of the centre and campus events ensuring the operations for industry and engagement, student experience and timetabled academic events run effectively
- Coordinate meeting rooms, events, and facilities, ensuring spaces are prepared and well-maintained.
- Ensure the building maintains a high standard of safety, cleanliness, and organisation in communal areas and teaching spaces and liaising with contractors and the internal property services team to resolve issues efficiently.
- Attend H&S bi-annual meetings and represent the needs of the school in meetings
- Maintain H&S noticeboards with latest guidance
- Deliver H&S overview as part of staff onboarding and relevant share policies and procedures
- Update BrightSpace (Virtual Learning Environment) with updates to policy and procedures
- Manage Fire Wardens and First Aiders to ensure they are fully trained and briefed on policies and procedures
- Lead Fire Warden for fire evacuation drills
- Assist with administrative tasks such as ordering office supplies, managing equipment, and updating internal systems.
- Provide logistical support including rooms bookings/catering for conferences and speaker events hosted by the school.
- Assist with budget tracking and invoice management.
- Liaise closely with the Student Services team on student-related queries to sign post to ensure a seamless student experience.
- Maintain the Workplace Health & Safety Inspection Checklist
- Resolve issues and conflicts and escalate to appropriate level when require
- Attend H&S bi-annual meetings and represent the needs of the school in meetings
- Represent and feedback on the needs of the UOHL at Health & Safety meetings
General
- Be a key point of contact for all students.
- Support with duties on reception areas and deal professionally and promptly with student enquiries and requests for support, fostering positive relationships with the student body.
- Foster productive relationships with internal and external stakeholders
- Any other duties as required by the Director of Student Experience and Operations or Head of School
