Knowledge Systems Specialist

The role:
We are looking for a Knowledge Systems Specialist to join our Knowledge Management department in London.
We are seeking a highly organised and enthusiastic Knowledge Systems Specialist to join our Knowledge team to support the administration, adoption and continuous improvement of the firm's knowledge productivity tools. These include our knowledge management system, collaboration platform (HighQ), document automation, transaction management and AI tools. The successful candidate will be able to build on their existing experience of these or similar products while gaining exposure to a wide and evolving range of systems and technologies.
What will you do:
Operational support
- Develop and build client portals, trackers and workflows using HighQ Collaborate.
- Update and modify automated templates using Contract Express.
- Update and maintain product and knowledge practice area intranet pages.
- Assist with coordinating and testing product upgrades, content migrations and new functionality.
User Support
- Respond to user queries and technical issues.
- Deliver user training and maintain training guides.
- Investigate technical issues and work with internal IT teams and external vendors to resolve them.
Governance and administration
- Configure and maintain user access, permissions and licences across the product suite.
- Ensure user and platform governance processes are implemented, documented and regularly reviewed.
- Maintain accurate records of tool licences, users and access permissions.
Usage tracking and reporting
- Monitor and track usage of tools, working with available analytics and reporting dashboards.
- Produce regular reports on key metrics including user engagement, adoption rates by practice group and usage trends.
Horizon scanning
- Attend regular account manager meetings to discuss product updates, feature enhancements and provide feedback.
- Attend webinars and external events to keep up to date on alternative products and providers.
What we are looking for:
- Minimum of two years' experience in knowledge systems, legal technology or a similar innovation-focused role within a law firm or legal department.
- Experience of working on Knowledge or IT systems and databases.
- Experience of providing user support and training in a professional services environment.
- Excellent written and oral communication skills.
- Strong IT skills including MS Office (Word, Excel, Outlook, PowerPoint).
- Keen interest in and awareness of the legal sector, legal technology and knowledge management.
- Previous experience of HighQ and Contract Express.
- Highly organised, detail-oriented and capable of managing competing priorities in a fast-paced environment, with strong communication skills and the ability to engage effectively with colleagues across the firm.
- Proactive and resourceful, with a problem-solving mindset and a willingness to take initiative.
- A positive attitude and enthusiasm for contributing to the firm's innovation journey are important attributes for this role.
Career Level:
The career level assigned to this role is level 3. The career level framework provides a formal structure for the business services functions at the firm. The framework, which ranges from level 1 to level 7, clearly defines the responsibilities, skills and competencies required at each level.
