Background

We are seeking a proactive Executive Assistant to join the School of Communication and Creativity (SCC) Professional Services team. This role provides comprehensive executive and administrative support to the Executive Dean and designated members of the School Leadership Team. You will play a vital role in ensuring senior staff have the operational and administrative support required to successfully deliver the School’s strategy across education, research, and enterprise activities. This is an excellent opportunity to contribute to a dynamic, student-focused academic environment.

Responsibilities

  • Diary and Logistics: Maintain complex diaries and coordinate meeting logistics for the Executive Dean and any designated member of the Senior Leadership Team.
  • Committee Support: Serve as secretary to School committees and groups, collate papers, produce agendas and minutes, and book rooms and organise catering where needed.
  • Communication: Act as the main point of contact for the Dean's Office enquiries, handling communications with tact and diplomacy.
  • Administrative and Project Support: Coordinate and manage School projects, initiatives, or events on behalf of the Executive Dean or at the request of the Director of Operations. Help prepare professional looking presentations and documents.
  • Financial Controls: Support purchasing processes, including raising purchase orders, processing invoices, and arranging travel bookings.

Person Specification

  • Qualifications: Educated to a minimum of ‘A’ level or equivalent, with office administration experience.
  • Technical Skills: Strong proficiency in Microsoft Office packages and high attention to detail.
  • Communication: Exceptional customer-centered interpersonal and communication skills.
  • Organisation: Proven ability to prioritise a varied workload, meet tight deadlines, and work independently or collaboratively.
  • Attributes: High level of integrity when dealing with sensitive, confidential issues. Highly proactive and a problem-solver.
  • Sector Knowledge: Previous experience within Higher Education is desirable.

Additional InformationThe post is required to be on site a minimum of 60% of the time (typically 3 days per week).
