Job Description

As part of an exciting new executive office launch in London, we're looking for an experienced Executive Assistant & Office Support professional to join our team.

Supporting Senior Executives, you'll play a key role in ensuring seamless executive operations through complex diary management, international travel coordination, and managing global calendars across multiple time zones. You'll work closely with an EA Lead and another EA, providing first-class support to senior leadership while helping shape a newly established executive office environment.

This is a varied role combining executive support, office operations and front-of-house responsibilities. As part of a collaborative team, reception coverage will be shared on a rota basis to ensure a professional and welcoming experience for visitors and stakeholders.

What you'll be doing

  • Providing proactive Executive Assistant support to two senior leaders
  • Managing complex global diaries, meetings and international travel
  • Preparing presentations, reports and leadership meeting materials
  • Coordinating meetings, agendas, actions and stakeholder communications
  • Supporting the day-to-day operation of a new executive office
  • Liaising with facilities, vendors and service providers
  • Sharing reception and front-of-house responsibilities within the EA team
  • Supporting onboarding and creating a positive workplace experience for employees and visitors alike

Qualifications

  • Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Administrative Assistant or similar support role.
  • Proven experience supporting senior leaders, including managing complex diaries, schedules and global calendars across multiple time zones.
  • Advanced proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams.
  • Excellent organisational skills with strong attention to detail and the ability to manage competing priorities in a fast-paced environment.
  • Strong written and verbal communication skills, with the confidence to build effective relationships and manage stakeholders at all levels.
  • A proactive, professional approach with the ability to anticipate needs, solve problems and work independently.
  • Positive, flexible and resilient, with the ability to perform effectively under pressure.

Desirable

  • Knowledge of health and safety requirements within an office environment.
