Job Description

The Role:

We are seeking a motivated and detail-oriented Executive Assistant I to become the center of communication for a team of investment bankers. In this role you will keep your team organized and running smoothly, managing complex calendars, coordinating travel, and executing the details behind meetings and conferences. Working closely with our Operating Support Staff and your teammates in a fast-paced environment with constantly shifting priorities, you will be a dependable partner who is always ready to pitch in and help the team succeed.

Why This Role is Unique

This is an ideal opportunity to build a career at a premier M&A and private capital advisory firm from a seat at the center of the action. You will work directly alongside investment bankers, gain first hand exposure to the deal process from pitch to close, and receive role-specific training designed to set you up for success. Over time, you will have the chance to take on special projects,

streamline how the team works, and grow your responsibilities as you grow your skills, all within a collaborative, one-firm culture that invests in its people.

Core Responsibilities:

Communication Hub: Operate as the center of communication for your team, preparing professional business

communications and serving as the point of contact between your bankers and the rest of the firm.

Calendar Management: Manage complex calendars for multiple executives, prioritizing schedules and identifying

and resolving conflicts as they arise.

Logistics & Travel Coordination: Coordinate domestic and international travel arrangements.

Expense & CRM Management: Prepare accurate, timely expense reports and keep the team's CRM current, logging

client contacts and touchpoints so relationships are well tracked to support business development.

Meeting & Conference Execution: Plan and execute the details of meetings and conferences, including conference

room reservations, catering, audio/video needs, and all other essential services.

Team Collaboration: Work day-to-day with the Operating Support Staff and your teammates, pitching in wherever

needed to keep the team running smoothly.

Job Specific Competencies, Education and Experience:

Required

2+ years of related experience

Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams

Ability to manage heavy calendar and contact management responsibilities

Editing and formatting skills in PowerPoint using templates

appropriate

General Excel formula capabilities to organize data and build out dashboard requests

Interest in learning the M&A and private capital advisory deal process from pitch to close

Familiarity with Concur for expense reporting and CRM systems is a plus, as is the ability to learn new tools quickly

Experience in finance or professional services is a plus but not required

Comfortable using technology, including AI tools, to streamline workflows and drive efficiency

Competencies

Proactive and self-starting: you ask “what's next?”, work ahead, and exhaust available resources before asking for

direction.

Collaborative and humble: you approach tasks with humility and enthusiasm, share ideas and credit, and view

challenging tasks as opportunities to grow.

Detail-oriented and accountable: you take pride in your work, proofread for accuracy before distributing, and seek

feedback from your bankers during and after projects.

Trustworthy and discreet: you maintain confidentiality and handle highly sensitive, personal information with sound

judgment, tact, and discretion.

Intellectually curious: you ask questions to deepen your understanding of the M&A and private capital advisory

process and your industry group, tracking where your team is in each deal to anticipate needs.

Clear communicator: you articulate your ideas clearly in writing and verbally, stay responsive, and acknowledge

requests and clarify deadlines.
