This Role
As Project Coordinator, you will support the smooth, accurate running of programmes across our infrastructure portfolio, keeping schedules, documentation, and reporting current so that delivery teams and leadership can make informed decisions. You'll bring structure and visibility to fast-moving, security-sensitive infrastructure work.
You will be the organisational backbone of the projects you support, freeing Project Managers to focus on delivery and risk.
Key Responsibilities
- Maintain project timelines, schedules, and task lists, ensuring they reflect current status and dependencies
- Coordinate meetings, agendas, minutes, and follow-up actions across project and programme teams
- Produce and maintain project documentation, including trackers, status reports, and governance board packs
- Track progress against milestones and deliverables, proactively flagging risks and issues
- Support procurement administration, including raising purchase orders and tracking invoices
- Manage project mailboxes and correspondence, responding to requests in a timely manner
- Maintain accurate records of permits, RAMS, O&M manuals, and other compliance documentation
- Liaise with internal teams, suppliers, and stakeholders to ensure information and resources are available when needed
- Assist with continuous improvement of PMO processes, tools, and templates
Experience
- Experience in a project support, coordination, or administrative role, ideally within infrastructure, construction, or technology delivery
- Familiarity with project management tools such as MS Project, Primavera, Jira, or Smartsheet
- Experience producing accurate reporting and documentation for project or programme boards
- Comfortable working across multiple concurrent projects with competing priorities
Skills
- Strong organisational skills, with excellent attention to detail and document control discipline
- Confident communicator, able to liaise clearly with internal teams and external suppliers
- Proficient in Microsoft Office, particularly Excel, PowerPoint, and Outlook
- Proactive and self-motivated, able to identify and escalate risks or blockers early
- Able to manage multiple tasks and deadlines calmly in a fast-paced delivery environment
- Discreet and security-conscious, given the sensitivity of the programmes supported
Qualifications
- Educated to A-level standard or equivalent; a degree in a relevant discipline is desirable but not essential
- Working towards or holding a project support qualification (e.g. APM PFQ) is desirable
