Office Support Manager (10 Month Contract)

Monday – Friday 6.30am – 2.30pm / 7am – 3pm
My client, a small, friendly and well established company based in Rainham, is looking for an Office Support Manager to join their team on a permanent basis.
You will be responsible for:
Acting as first point of contact for customer queries and issues
Taking all reasonable steps to ascertain the necessary details of each issue, providing a positive customer experience and enabling team of engineers to arrive on site fully prepared
Ensuring prompt, appropriate feedback to customers as required
Coordinating job allocation, resourcing our field service team as efficiently and effectively as possible to minimise operational disruption for the customer and maximise our team's effectiveness
Processing key paperwork, ensuring paperwork has been correctly filled out and the information is correctly added to our system including timesheets, engineering reports and associated paperwork
Addressing any issues with the engineers to the Senior Support Engineer
Administrating the servicing database, working with the Finance Administrator to ensure vehicle servicing is correctly logged, documented and processed
Supporting the Purchasing and Finance Administrator with credit control tasks, chasing customers for purchase orders/incomplete payments
Ensuring records kept are in line with company and/or approval body requirements sufficient for reporting, auditing requirements and trend analysis/KPIs
Managing core office processes including office supplies, uniform orders, management of van fleet and holiday/sickness calendar
Maintaining internal documentation for the field service team, circulating authorised communications and revising hard copy publications as required
Assisting in developing and improving any internal systems to ensure the company development and improvement
Identifying training or personal development needs where required, liaising with the Operations Director to progress any necessary actions
Adhering to all relevant legislation, laws and on-site requirements to guarantee you operate in a safe, effective and compliant environment
Attending scheduled meetings as required by management
Employing safe working practices
