We are recruiting for a Business Support Officer – For Merton Council, Full Time, paying up to £18.70 per hour.
Job Purpose:
To provide an effective and efficient high standard of administrative, practical, and financial support to the Transitions Team Manager and Transitions Team, within the Learning Disability Service, Adult Social Care. The role is varied, and the duties and responsibilities include.
Main Responsibilities:
* Maintain accurate service monitoring databases to ensure robust statistical information, including inputting sensitive information onto Mosaic.
* Maintain an accurate record on Excel of Transition cases dealt with by the Transitions Team and with other sections within Adult Social Care and teams in Children, Schools and Families including Special Educational Needs, Children with Disabilities etc.
* To organise, coordinate, attend and minute the weekly Transitions Outcome Forum where detailed notes of Transition cases will be required. Provide accurate documentation in an accurate and timely way following forum decisions.
* Organising the Transition Team’s duty rota and office attendance rota.
* Taking calls into the team and directing to the appropriate members of staff as required. Ensuring a clear and professional response to calls and enquiries and taking precise and clear telephone messages.
* Provide a direct service to customers and carers, redirecting calls appropriately, answering queries ensuring sound customer care and quality of service principles ensuring the information is recorded appropriately on the system in a timely manner.
* To work independently and as a team member, to develop specialist administrative and practical support skills providing a high level of accuracy for administrative responsibilities.
* To support in the development and implementation of business processes and business improvement processes in line with the service plans and operating models for Transitions.
* To be the administrative lead for a team, providing a proactive, effective administrative/finance support to Managers, Social Workers, and Practitioners, covering, as required, for other Team Support Workers.
* Responsible to manage all administrative tasks for travel, procurement orders and other such admin duties as may be requested.
* Manage, deal effectively and monitor response to more challenging/complex telephone enquiries, responding to queries or referring on to appropriate team member or Manager to deal with, where necessary.
Knowledge, Qualifications, Skills, and Experience:
* Good working knowledge of using IT packages including Word, Access, Outlook and specifically Excel.
* Accurate keyboard skills and experience or training in basic office administration

* To have worked in Local Authority and within adult and / or Children’s Social Care Services is desirable
* Excellent communication skills – written and personal, Excellent numeracy/literacy skills to include accurate data entry and amendments of information on to a database and spreadsheet records.
* Deal with sensitive, confidential, and sometimes distressing information
* Meet deadlines for completion of work
* Collate and present information including statistic and other data as required
* Prioritise work and use initiative
* Advanced ICT skills and effective use of specialist ICT packages
* Able to book a venue for non – virtual meetings using in-house room booking system or book a venue outside the office
* Ability to organise meetings in Outlook /Teams
* Use Microsoft Teams to record a meeting, admit attendees, send invites during a meeting, and solve connection issues
* Sharing sensitive information – knowledge of the GDPR and the Caldecott principles
