Contracts Administrator

As part of our continued growth, the opportunity has arisen for an office based Contacts Administratior based in Belverdere, on a full time basis.
Duties Include:
* Liaise with residents regarding appointments and access booking
* Work on keeping operational schedules updated including sharing weekly completions and “look ahead” with relevant clients
* Monitor multiple inboxes and liaise with clients as point of contact
* Work with the contract management on post completion reports and work in progress reports and inspections
* Oversee and record the mailing process on the contract
* Upload and file any correspondence/ documentation received to the relevant contract folder and perform any other associated administrative tasks
* Update the contract trackers with project information
* Prepare completed install reports and perform any other relevant administrative task.
* Assist other departments when required with administrative and data entry tasks.
* Schedule appointments for Installations based on the client program.
* Working with contract management to prepare and issue regular client/project reports
* Manage and collate technical data throughout life of project
* Liaise with residents or building managers for access if required
* Manage installation programme for projects and issue to installation team
* Liaise with the Shellen Resident Liaison Officer to resolve any issues that may occur when booking installations and resolve.
* Liaise with Production and monitor the fitting schedule to ensure bookings made are correct and special requirements have been added if required.
* The ideal candidate will be:
* Experienced in Excel data entry, creation and revising of spreadsheets.
* Experienced in liaising with residents/ customers via phone, email, and letter in a polite and professional manner.
* Good communication skills, polite and professional manner.
* Strives for continuous improvement and happy to take ownership of tasks.
* Detail orientated and highly organised and works well as part of a team
