We are recruiting for a Team Assistant to join our client’s Investor Relations Team for a 6-month temporary position.
Location – West End of London (near Piccadilly/Green Park)
Pay – PAYE rate of up to £24.66 per hour including holiday pay or alternatively working via an FCSA accredited Umbrella Company (inside IR35) up to £30.00 per hour.
As part of a small and senior team, the IR Team Administrator will be instrumental in providing Team Assistant support to the London-based IR team
KEY ACCOUNTABILITIES
* Draft engagement briefs for executives and the IR team, working closely with the IR Analyst responsible for global engagement coordination and the investor relations officer supporting the investor engagement event.
* Provides calendar management for investor events and outside of investor engagement
* Executes all logistics associated with investor events, including (i) booking flights, hotels, car service, meeting rooms and catering requirements, (ii) coordinating security and check-in requirements, (iii) providing ‘meet & greet' service and (iv) coordinating and troubleshooting all IT requirements).
* Entry of notes, logging of correspondence, response tracking and other database management activities associated with IR’s investor management tools.
* Provides day-to-day support for investor events.
* Processes expense claims for the IR team.
* Set up, formatting and issuing of press releases using IR’s investor management tool.
* Provides frontline service and triaging of all incoming phone calls to, and requests of, the IR team.
* Coordinates the IT support needs of the IR team.
* Leads other ad-hoc general administration activities, as required by the IR team.
* Provides administration support during the quarterly results process as needed, including supporting the printing of quarterly results materials, document management on MS Teams and SharePoint sites.
* Supports the organisation of, and coordinates the logistics for, internal IR team events and activities, such as IR team away days, internal outreach activities and other internal requests of the IR team.
What we are looking for.
* Experience working as a personal assistant for a team of people.
* An ability to thrive in a fast-paced environment, with changing priorities and work scope
* Exceptional organisational skills, accuracy and attention to detail.
* Intermediate to advanced computer skills including MS Office suite (Word, Excel, PowerPoint, Outlook), templates, mail merge, letter formatting, slide master, One Note and use of Teams desirable
* Experience working in banking/finance industries or IR in medium-to-large public companies.
* Familiarity with any of the following tools, Concur, Egencia, Nasdaq’s IR Insight.
* Experience with data analytics (such as PowerBI).
